Facebook Leads Not Syncing to Pipedrive? Fix Every Route

Leads in Meta but not in Pipedrive? Diagnose it in order: confirm leads exist, then fix the Zapier, sync-tool, import, or direct-integration failure — with the exact screens to check.

Your ads are spending, Meta says leads are coming in, and Pipedrive’s Leads inbox is quiet. Before touching any tool: this is nearly always a plumbing failure between two working systems, it’s nearly always silent, and it’s diagnosable in order. Work top to bottom — each step tells you whether to keep going.

Step 0: Confirm the Leads Exist

Open Meta’s Leads Center (or download the form’s CSV from Ads Manager) and confirm the missing leads are actually there. If they’re not in Meta either, your problem is upstream — the ad, the form, or where Meta puts leads — and no Pipedrive-side fix will matter. If they are in Meta: good, the leads are safe for now (90 days, then deleted ), and the break is in your route. Continue.

Step 1: Send a Tracer Lead

Don’t debug configuration by staring at it — trace a live one. Meta’s Lead Ads Testing Tool submits a synthetic lead against the exact form your ad uses (check the ad itself for which form that is — assumptions here are the bug). Then watch each hop: Leads Center → your connector’s run/history screen → Pipedrive’s Leads inbox. The hop where the tracer vanishes is where your problem lives. If You Use Zapier (or Make)

The tracer never appears in the Zap’s history:

  • Form mismatch — check this first. Each Zap is paired to one specific form. A new campaign with a new form, a duplicated form, a renamed form — and the Zap watches the old one while leads pile up unseen. Open the Zap’s trigger, confirm the Page and form match what the ad actually uses, and re-pair if not. Make “new form → new Zap → tracer test” one ritual forever after.
  • Meta revoked the connection. Password changes, security checkups, and routine expiry all invalidate third-party tokens — silently, from the Zap’s perspective. In Zapier: Settings → Connections → Facebook Lead Ads; reconnect, then re-test every Zap using that connection, not just one.
  • The Zap is off or task-starved. Check it’s on, then check your task usage — blowing the month’s task budget holds or pauses Zaps (behavior varies by plan and settings), and it happens precisely when ads perform best. Set usage alerts today.

The tracer reaches the Zap but errors on the Pipedrive step:

  • Reconnect Pipedrive the same way (API tokens can be regenerated by a colleague without warning — a regenerated token invalidates the old one everywhere it’s used).
  • Mandatory-field failure: Create Person requires a name — if your form made name optional or a mapping broke, the action errors per-lead. Check the error detail; fix the mapping or the form.
  • A filter is eating leads. A filter step tuned for one form’s answers silently drops another form’s leads (different option labels, blank fields). Check the filter’s pass/fail counts in history.

The tracer arrives sometimes, late: that’s not broken, that’s polling — check what your Zapier tier promises about trigger speed, and whether minutes-late matters for your process .

If You Use LeadsBridge, Outfunnel, or Another Sync Tool

The same three suspects wear different clothes: the bridge/sync is paired to the wrong form or Page (audit the pairing against the live ad, exactly as above); the Meta or Pipedrive connection needs re-authorization (both ends have a connections/accounts screen — reconnect and re-test); or you’ve hit a plan cap — LeadsBridge’s free tier stops at 50 leads/month and 1 bridge, and volume-tier overruns behave differently per vendor, so check the tool’s own alerts page. If You Import from Spreadsheets

  • Rows silently skipped: almost always the mandatory field — a Person needs a name. Blank-name rows (phone-only forms do this) drop. Give them a placeholder convention or fix the form.
  • Duplicates multiplying: the duplicate-merge step was skipped, or match fields are dirty — “call after 5” appended to a phone cell defeats matching. Clean the columns, choose merge at the final step, and remember any import reverts within 48 hours — check your batch immediately after importing, while the undo still exists.
  • Fields landing wrong: column names drifted (someone renamed Budget to budget?) so auto-mapping guessed. Fix the header names once; every future import heals.
  • “It’s just not up to date”: that’s not breakage — that’s the interval between imports, which is unprotected by definition. Shrink the rhythm or automate the capture end.

If You Use PipeLeads

Open the lead’s delivery record — every lead shows delivered / retrying / failed per destination. Retrying means Pipedrive was briefly unreachable and the queue is handling it (delayed, never lost — you can replay any failed delivery once it recovers). If the connection itself is unhealthy — an expiring Meta authorization, a revoked Pipedrive authorization — you’ll have been warned by the health monitor before the flow stopped; follow the reconnect prompt and the queue drains. Three habits neutralize it: make “new form → update the connector → tracer test” a single atomic ritual; put a monthly tracer lead on the calendar; and check your tool’s task/volume caps before your best ad week, not after.
